We've designed the COVID-19 Document Library with an easy-to-use navigation and a structure that allows for convenient and easy searching and sharing of documents or groups of documents between team members. Below are some tips.

Navigating

Folder List
The folder list provides easy access to frequently used groups of documents. Clicking on any link will result in a list of documents tagged to that subject.

Clicking the ‘Home’ link at the top of the list or the ‘Documents’ link in the main site navigation will return you to the full list. 

Tags
Each document is tagged with one or more subjects. The tags appear in the right hand column on the main search page. Clicking on any tag will generate a full list of documents tagged with that keyword.


Searching

The entire database of documents can be searched using keywords in the search bar. The document search looks for that keyword in the title, file name, description, and tags for each document and generates a list of matching results.


Sharing

To share a document or group of documents, simply copy the URL from the address bar and paste into an email. 

Sharing a Folder

Example: Drive Up Testing | https://covid-19.dukehealth.org/documents/tag/Drive-Up%20Testing

  1. Click on the "Drive Up Testing" link in the folder list
  2. Copy URL from address bar
  3. Paste into email
  4. All current and future documents tagged to "Drive Up Testing" will display when the link is used

 

Sharing a List of Tagged Documents

If there is a tag for which you want to share all the associated documents but it is not in the folder list, you can do that as well.

Example: Know Share Do | https://covid-19.dukehealth.org/documents/tag/Know%20Share%20Do

  1. Click on the ‘Know Share Do’ tag in the right hand column on the main search page
  2. Copy URL from address bar
  3. Paste into email
  4. All current and future documents tagged to ‘Know Share Do’ will display when the link is clicked

 

Sharing a Single Document

If there is a specific document you want to share:

  1. Find the document in the library and click on the Title.
  2. Copy URL from address bar
  3. Make sure to copy the link after clicking the Title (such as Face Masks and Face Shields: Instructions for Extended Use and Re-Use, pictured below) instead of linking to the actual PDF file. This ensures that if a new version of the PDF is posted, your link will still work.
  4. Paste into email

 

Sharing Search Results

Example: "Visitor" keyword search | https://covid-19.dukehealth.org/documents?document-keyword=visitor

  1. Enter 'visitor' in search bar and click search
  2. Copy URL from address bar
  3. Paste into email
  4. All current and future documents including the word "visitor" will display when the link is used
